Your data and GDPR: We don’t keep any of your personal data on our computers.  Anything you provide us or have provided us to create your showreel is either returned, deleted or destroyed once a showreel has been completed.  This will mean you’ll need to re-send us your footage again if you’d like to use us in the future.

We keep booking forms for tax purposes only. By filling in this form you consent to providing us this information. However, we can delete your form at your request.

Your Showreel Usage:

Your showreel may be featured on one of our online platforms. The platforms we use currently are : YouTube , Vimeo, OneDrive, Twitter and Facebook.

Showreel Edits: You can request to have your footage removed from these platforms at any time.

Please bear in mind we don’t control these platforms and the removal of your footage is subject to their terms and conditions and can take time to completely remove.

Showreels From Scratch: We retain the rights to all footage shot and can use the footage publicly on our various channels. Scripts produced by Shoe String Filming are protected by copyright and cannot be sold or reproduced. However, you can have your name removed from the description of these scenes.

Showreel Editing Terms and Conditions 
A) Please note we require either a 50% deposit (£50) or full payment before we begin any Showreel Edit.

After completing the booking form you will be sent an invoice for the deposit. You are more than welcome to request to pay the full fee up-front if you prefer.

The fee listed above is subject to change and is merely a reflection of the current pricing structure. It should not be used as a quote or an indication of the price of a showreel. Prices are listed on our prices page.

We have only implemented this policy from 2015 after consultation with Equity and BECTU. Many freelancers have a similar policy should you wish for further information on this please contact us directly.

B) Discounts can only be claimed if a promotional code is included in the original booking form.

C) Final Cuts Upon Full Payment.

Final cuts of showreel scenes will only become available upon full payment being received.

D) Payment and late fees. 

Invoices must be paid within 30 days of the invoice date.

Unpaid invoices will incur additional charges of 8.5% the total fee every 14 days the invoice is left outstanding.

E) Footage and Usage

Showreels may be uploaded and made publicly available online via our various channels at our discretion.

This is largley for marketing reasons, as an example we may post a showreel on this website to show clients the type of work we produce. To do this we have been known to use YouTube/Vimeo however should you not want your showreel to be used, you should make the request at the time of booking. If requests are made after a showreel has been compelted we will do our best to remove content, however a time frame can not be given as it varies depending on where the footage has been hosted. 

You can at the time of booking request for us not to use upload showreels to any of our public channels.

We have no obligation to keep your showreel on our online social/video accounts.

We have no obligation to keep your showreel or footage on file. The majority of clients showreels and footage is deleted from our system upon completion of a showreel.

The showreel we use online may differ slightly to the final cut you receive to avoid copyright issues.

For example; clients with footage from the BBC may find their footage prevents YouTube from broadcasting the showreel online. In this situation the online version we use will differ from the final cut you use on your own personal marketing channels. We have no obligation to upload your showreel to our account.

As we have edited your showreel, any showreel cut we create is our intellectual property and we retain all rights to edited video and any sequences, transitions , effects and stylistic choices used to create your video.  However, materials contained in this video may be subject to other copyrights.

As an example – By hiring us to edit your showreel you are giving us permission and rights to create a new piece of intellectual property (a showreel), however we do not own the individual rights to the videos contained with in the showreel video. So if your showreel contained ; A- home movie B – footage from BBC C-home move D-home movie. We would own rights to showreel but not the copyright for the footage from the BBC. This in effect means the BBC at any point could request for the showreel to be altered to remove the footage they own copyrights to.

This also means you are forbidden from copying/imitating a showreel cut we have created using your own editing software and uploading it without first requesting permission from us to do so. 

By hiring us to create your showreel it is assume within good faith that you have obtained all legal rights for the footage you provide to be used in your showreel.

Normally in the editing process you will be sent preview videos so you can see how the edit is progressing. These video may be removed from our account at any stage.

By uploading videos to YouTube :  we/you grant to YouTube a non-exclusive, worldwide, perpetual license to freely sub-license, re-distribute, re-publish, monetize, and whatever they may want to do with your video.

This effectively means YouTube can remove a video or alter it at their discretion. It also means should we remove a video it may still appear in a web search until YouTube agrees to remove it. Google and YouTube are owned by each other and thus the same rule applies to Google searches. Meaning in short if we remove a video, it can still appear on a Google/ YouTube search until Google/YouTube agree with the removal. There is no control or time frame on this and we can’t predict how long it will take for a video to be removed from a search. 

We may use a cut of your showreel to advertise our expertise in creating a showreel.

F) Postage Fees and Responsibility

Should you need to post footage to us, we will charge £5 to post your property back to you. We are not responsible for the safety of your media should it get lost or damaged in transit. It will be assumed that you have a backup of all your media before you send it to us.

G) Termination of Work 

We have the right to terminate work on your showreel at our discretion.

Depending on what stage work is terminated you maybe be subject to a termination fee.

We may terminate working on a showreel for multiple reasons the most common reason we will disclose:

Poor Client Relations: If we feel you as the client, has been rude, disrespectful or abusive. We will halt our service.

A termination fee will be charged if work has already begun on your showreel. If you have been emailed a preview cut, this will act as proof of work completed.

If your showreel is still in the editing stage and a preview has been sent we will retain the 50% deposit as your termination fee.

If you have sent footage to us and not provide a return fee, you will not be sent your footage until the return fee has been paid.

If your showreel has been completed and you have agreed to the final cut in writing, then decided at a later stage you need a slight alteration, we have the right to refuse this request as an agreement has already been reached on what the final cut is. You would not be entitled to a refund and we will keep the entire fee paid for the showreel.

H) Footage For Showreels

Neither Shoe String Filming, our associates, or anyone associated with Shoe String Filming is able to obtain any footage for use in your showreel.  Any footage must be sourced by the individual (You) booking a showreel.

You must also obtain the correct permissions for use of all footage.

By agreeing to these terms and conditions, Shoe String Filming understands that you have obtained all the correct legal permissions for footage to be used within a showreel, and are acting in good faith to all productions concerned.

Shoe String Filming does not contact production companies or distributors to source materials for you, nor is it our responsibility to source the permissions required.

Shoe String Filming does not record or download any footage on an individual’s behalf.

THE TERMS LISTED BELOW ARE FOR CLIENTS WHO’VE PREVIOUSLY HAD A SHOWREEL CREATED FROM SCRATCH.

Showreel From Scratch Terms and Conditions 

These Terms and Conditions apply to corporate bookings as well.

A) You can only book a showreel from scratch if you meet the following criteria:

You are based in London (UK) as we predominately shoot in East London (Ilford/Hainault -Zone 4).

You have a strong command of the English language, we are unable to shoot in multiple languages.

Have previous professional acting experience or training.

B) We are only able to shoot showreel scenes that have been written by Shoe String Filming. We are unable to shoot scenes written by actors themselves.

C) We are unable to shoot period/classical scenes.

We recommend shooting a speech if you desperately need a classical piece, for more information please contact us directly : showreels@shoestringfilming.com

D) We are currently unable to provide a make up artist.

Unfortunately we are unable to provide a make up artist for shoot days. We are currently working towards changing this however, we need all clients booking to be aware we can not provide a make up artist for shoot days by agreeing to our terms and conditions you have agreed that you have read and accepted this is not currently part of our service.

E) We require a 50% non-refundable deposit of your chosen package up-front.

After completing the booking form you will be sent an invoice for the deposit. You are more than welcome to request to pay the full fee up-front if you prefer.

F) Discounts can only be claimed if a promotional code is included in the original booking form.

G) Cancellation Fees –

If an actor is 30 minutes late (a no show) to a shoot, the shoot will be cancelled. If the shoot is cancelled a cancellation fee of £50 will be incurred.

If we have to cancel your showreel shoot on the day due to your lack of preparation you will a incur a rescheduling fee.

H) Shoot Cancellations/Reschedules.

If an actor needs to cancel a shoot they must inform us 72 hours before the shoot, failure to do so will incur a cancellation fee of £50.

I) Extreme Circumstances.

If we (Shoe String Filming) need to cancel a shoot, it will be due to extreme circumstances (poor weather for outdoor shoots for example). In this instance no cancellation fee will be charged.

J Confirmation of Terms and Agreement 

All clients must agree to our terms and conditions before a showreel from scratch can be booked. If you disagree with our terms and conditions then unfortunately we can not work on your showreel.

K) Final Cuts Upon Full Payment.

N) Preparation

You are expected to be fully off book on shoot days. No exception.

You select your shoot date in advance and should pick a date that gives you enough time to  prepare your scripts.

If we have to cancel your showreel shoot on the day due to your lack of preparation you will a incur a rescheduling fee.

O) Termination of Agreement 

You are able to terminate our agreement of work at any time, however, you will be required to pay a termination fee/kill fee.

i: Terminating before the shoot

A) We have a 14 day cooling off period from your initial booking. This period allows you to cancel your booking and receive a full refund including deposit (as long as a shoot has not been organised to take place within the first 14 days and no props or equipment have been hired for your shoot within these 14 days, if equipment or props have been hired, part of your deposit will be retained to cover the cost).  Please see the examples below;

As an example; You (The Client) can book a showreel on January 1st and cancel your booking and receive a full refund as long as you contact us, by 23:59pm on January 14th, in writing, you will then receive a full refund.

If you book a showreel on January 1st and arrange to have the shoot between 1st-14th January and then request to cancel the booking, you will be required to pay a termination fee/kill fee.

B) If you wish to completely cancel the shoot at any point after the 14 day cooling off period but before the shoot, your deposit will not be refundable and a kill/termination fee may be applicable if any additional work has already begun, such as ; editing on existing footage that will form part of your showreel as an example.

ii: Terminating after the shoot

A) Your deposit will be retained and will not be refundable.

B) A termination/kill fee will be required to cover the work already completed.

i- Should the project be fully completed (shoot and editing) you will be required to pay the full amount of the original booking.

ii – Should the project not be fully completed you will be required to pay 80% of the original booking.

iii-Use of footage

We are under no obligation to provide you with any of your footage should you choose to terminate the agreement.

In some circumstances you may be able to purchase the “Raw” footage only, from us. This footage will not be labelled/numbered or formatted in anything other than its native format.  We will also retain all rights to any footage you may use and will need to be credited should you decide to use any of this footage.

The cost of purchasing the footage is as follows :

£100 for the footage in it’s raw format, and the cost of all hard drives required to copy these files.

We retain the right to sell and we can decline any request to sell any footage.

We will only consider selling the footage should the applicable termination fee be paid in advance.
